Your first week: an onboarding walkthrough

Teams that go live carefully outperform teams that switch everything on at once. This plan spreads the rollout across five working days so you build trust in the AI before it handles live leads unsupervised.

Day 1 — Foundations

  1. 1Add every active listing with accurate price, availability, and key features.
  2. 2Write 20-30 knowledge base entries covering fees, viewing policy, application steps, and neighbourhood basics.
  3. 3Set your brand voice and escalation rules.

Day 2 — Supervised testing

  1. 1Run 10 realistic enquiries through the assistant yourself, including awkward ones.
  2. 2Fix every wrong answer at the knowledge base level.
  3. 3Agree with your team what the AI must never answer alone.

Day 3 — Go live on one channel

  1. 1Install the website widget and let it handle real enquiries with a human reviewing replies the same day.
  2. 2Check the pipeline is being populated with correct lead stages.

Day 4 — Add SMS and CRM

  1. 1Connect SMS and send test messages from a real phone.
  2. 2Connect Follow Up Boss (or export leads) so nothing lives only in one system.

Day 5 — Switch on follow-up

  1. 1Enable automated follow-up for leads that go quiet.
  2. 2Review the week's transcripts, note recurring gaps, and add the missing knowledge.
  3. 3Set a recurring 15-minute weekly transcript review in your calendar.
Keep a human in the loop

For the first two weeks, have one person read every transcript. It is the fastest way to find knowledge gaps and the cheapest insurance against a bad reply reaching a client.
