You are the data controller for your leads' information; Lytle.ai processes it on your instructions. These are the practical habits that keep that relationship clean.
Know what you store
- Contact details, enquiry content, and conversation transcripts.
- Qualification answers such as budget and timeline.
- Knowledge base content you author, which should never contain client personal data.
Set a retention period
Decide how long you keep transcripts and lead records after a deal closes or a lead goes cold, write it into your privacy policy, and stick to it. Many brokerages align this with their existing transaction record retention rules.
Handle requests properly
- Access and portability: export the contact's record and transcripts.
- Correction: edit the contact record; the AI uses the corrected version from then on.
- Deletion: delete the contact, which removes their messages and derived summaries.
- Respond within your statutory deadline — 30 days under UK/EU GDPR.
Keep the knowledge base clean
The knowledge base is reference material for every conversation. Never paste a client's personal details, financial position, or offer terms into it.
